We modelled what it costs an Australian small business to keep doing 12 everyday back-office jobs by hand, and what it costs to hand each one to AI instead. The short version: the median workflow pays for itself in about 2 months and nets roughly $7,020 in the first year. Every number is built from public data, and we show our working.

This is a transparent model, not a survey. It uses real 2026 Australian salary, superannuation and award figures plus our own published pricing. It contains no client results and no invented statistics. Your numbers will differ, that is what the free audit is for.

Human cost is the fully-loaded cost of the hours each task currently eats (salary + super + on-costs). AI cost is a one-off build plus monthly running. "Reclaimed" is hours given back to your team, not jobs removed.

How we modelled this

Every figure is reproducible from public inputs. No part of this index is a measured client outcome or a survey, it is a model, and here is exactly how it runs.

The cost of a human hour

We take 2026 Australian market salaries, a modelled $65,000 base for reception/admin and $82,500 for bookkeeping/finance (SEEK), and load them with a 28% on-cost factor (12% super, WorkCover, equipment, software, recruitment and management overhead). We divide by 1,748 productive hours a year (38 hours × 46 weeks, after leave and public holidays). That lands at $48/hour for admin work and $60/hour for finance work. Payroll tax is excluded, most small businesses sit under the state threshold.

The cost of an AI hour

We use our own published pricing: a one-off productised build from $497, then an all-in monthly run fee ($99–$249) that already includes the AI tool subscriptions, token usage and ongoing monitoring. No hidden platform fees. You own what we build.

The hours each task eats

The weekly-hours figure for each workflow is a deliberately conservative estimate of the time that task takes across a typical small team. We would rather understate the saving than oversell it. On a live audit we measure your actual hours instead of modelling them.

What it does not claim

How much does AI actually save an Australian small business?

Across the 12 most common back-office workflows we modelled, the median year-one net saving is about $7,020 per workflow, after the build and a year of running costs. A business that automates its three highest-value workflows reclaims a modelled 17 hours a week and roughly $29,435 in year one.

Is this AI Cost Index based on real client results?

No, and we say so plainly on the page. It is a transparent model built from public figures: 2026 Australian salary data (SEEK), the 12% Superannuation Guarantee (ATO), the national minimum wage and Clerks Award rates (Fair Work), and our own published build and run pricing. It is not a survey of clients and contains no measured client outcomes. Your real numbers will differ, which is exactly what a free audit is for.

What does it cost to run AI for a small business in Australia?

Most single-workflow builds in the index run between $99 and $249 a month all-in (tools, tokens and monitoring included), on a one-off setup from $497 to $1,500. Running all three top workflows comes to about $7,164 a year.

Will AI replace my staff?

No. The index measures hours reclaimed, not jobs cut. AI carries the repetitive load, the triage, the chasing, the data entry, so your people spend their hours on the work that actually needs a human. Most of our clients redeploy the time into sales, service and growth, not redundancies.

How fast does AI pay for itself?

In the model, the median workflow pays back its setup cost in about 2 months, and the fastest (inbox triage) pays back in roughly one month. After that, the only ongoing cost is the monthly run fee.
